Bathford Enterprise For All (BEFA) Limited was established in November 2005 as a non profit-making enterprise, since registered under the Co-operative and Community Benefit Societies Act 2014 (registration number 30025R). It is owned by its members and overseen by directors who are elected by members. The sole purpose of BEFA is to run Bathford Village Shop and Café for the benefit of our community. The Shop and Café are run by one full time manager and one part-time manager and about 40 volunteers.
Purpose of this Policy
This policy is a statement of how we manage personal information within BEFA. We need to comply with the expectations of the General Data Protection Regulation 2018, and will review this policy regularly in order to ensure that it is appropriate, effective and workable.
We want to maintain the trust and confidence of our customers, members, staff, volunteers and visitors to our website. In short, this policy is designed to show what information we have, how we use it and how we look after it. We do not sell or trade any personal data that we hold, and take great care to keep that data secure and safe.
Types of data we collect
Most of our data relates to our members. When members join they become shareholders in BEFA – in effect, the owners. Contact details have been provided willingly by members themselves – name, address, telephone number, e-mail address – and we see this information as important in keeping in touch with members. We would like to be able to keep members up to date with news (eg events like pop-up Café meals, Annual General Meeting dates, significant changes in the management of BEFA and similar matters) and use contact details for this purpose.
We also keep data on employees and volunteers. For employees this helps us to ensure that pre-appointment checks can be carried out, and that directors can have a suitable channel to communicate with employees. For volunteers it represents a way of contacting them to keep the volunteer rota working. In addition, this data can be used to make appropriate contact in the event of an emergency or other issue.
Some customers have accounts with the Shop and this information will include name, address, telephone number and email address. This information is used to ensure an effective service for our customers.
In addition, we keep mailing lists for newsletters and general news about the Shop and Café. Again this will include name and email address and will have been given voluntarily when signing up.
None of the above information is shared in any way with anyone else.
